Submit a revision for review
Review happens at the revision level, not the document level. You submit a draft revision; the document itself carries on unchanged while that review runs.
Before you begin
Section titled “Before you begin”- The revision must be in Draft. Approved and Superseded revisions have no submit action — to change an approved revision you upload a new one.
- You need edit access to the document.
- A Workflow Profile whose Subject is Document must exist. The default is Standard Document Review (one step). Profiles live under Workflow → Workflow Profiles.

Go to Document Control → Documents and find the document.
The module is labelled Document Management System in the left nav today; both names refer to the same thing.
Use the search box, or the Level 1–3, Tag, Language and Status filters. The Effective only toggle narrows the list to documents currently in force.

Open it from the row’s ⋮ menu → Open.
The title itself is not a link — you need the actions menu at the end of the row.

Select Edit, then the FILES tab.
This is where every revision of the document lives, with its status, change record, size and uploader.

If you are adding new content, use Upload New Revision → Select File.
That creates the next revision in Draft.

Fill in the change record.
ClearVue labels this field ISO 9001 §7.5.3, and it is the first thing an assessor reads. Fill it in — even though the standard does not strictly compel it. §7.5.3.2 c) requires control of changes, not a written reason for each one. A revision that still says Not recorded has no stated reason for the change. Write it the way “Revision 3 — periodic review update (ISO 9001 §7.5.3). Reason: Periodic review” does on the existing revisions.

On the draft revision’s row, select the Submit for review icon (the paper plane, in the Actions column).

Add a comment if it helps the reviewer, then select Submit.
The comment is optional. The dialog confirms which revision and file you are submitting — check the filename, because a document with several drafts will show a submit action on each of them.
What happens next
Section titled “What happens next”The revision moves from Draft to Under review and is routed by the Workflow Profile for documents. Reviewers pick it up under Workflow → My Tasks.
Once it is approved, earlier revisions become Superseded and are retained as history.
Tracking it
Section titled “Tracking it”Two icons appear on revisions that have been through the workflow:
- Workflow status — where the revision is in its approval route.
- Acknowledgment compliance — who has acknowledged the revision, once it is approved.
If a reviewer is unavailable, Workflow → Delegations is where cover is arranged. Set that up before submitting rather than after — a review waiting on someone who is away does not announce itself.
